Privacy Policy

Last updated: 18 October 2026

1. Who we are

This Privacy Policy explains how FlexiDigit Technologies LLP (“FlexiDigit”, “we”, “us” or “our”) collects, uses, shares and protects personal data when you visit www.flexidigit.com (the “Website”), contact us, or engage with us for our services and products.

FlexiDigit Technologies LLP is a limited liability partnership incorporated in India, with its registered office at E 001 Sipani Bliss Phase 1, Marsur Post, Chandapura, Anekal Taluk, Bengaluru, Karnataka 562107, India.

This policy is intended to comply with the Digital Personal Data Protection Act, 2023 (“DPDP Act”), the Information Technology Act, 2000 and the rules made under them.

2. Personal data we collect

We collect only the personal data we need:

  • Information you give us — your name, work email address, phone number, company name, industry, areas of interest and the contents of any message you send us through the contact form, by email or by phone.
  • Business contact information — details of people at our clients, prospects, partners and suppliers that we receive in the course of business, such as names, job titles and contact details.
  • Recruitment information — if you apply to work with us, your CV and the details you choose to share.
  • Technical information — when you visit the Website, your browser and our hosting provider automatically process basic technical data such as your IP address, browser type, device type and the pages requested, so that the Website can be delivered to you securely.

We do not knowingly collect sensitive personal data (such as financial, health or biometric information) through the Website, and we ask that you do not send it to us.

3. How we use your personal data

We use personal data to:

  • respond to your enquiries and requests for demos, proposals or consultations;
  • provide, manage and improve our services and products, and communicate with you about them;
  • manage our relationships with clients, partners and suppliers;
  • send you updates or newsletters that you have asked to receive (you can opt out at any time);
  • evaluate job applications;
  • keep the Website secure and working properly; and
  • comply with our legal, accounting and regulatory obligations.

We do not sell your personal data, and we do not use it for automated decision-making that has legal or similarly significant effects on you.

4. Legal basis for processing

We process your personal data on the basis of your consent — for example, when you submit an enquiry or subscribe to updates — or for legitimate uses permitted under the DPDP Act, such as where you voluntarily provide data for a specified purpose, or where processing is needed to comply with law. You may withdraw your consent at any time by contacting us; this will not affect processing already carried out.

5. Data we process for our clients

When we build or operate solutions for our clients (for example, warehouse, fleet, forecasting or AI systems), we may process personal data on their behalf. In those cases the client decides how that data is used, and we process it only on their documented instructions and under the confidentiality and security terms of our agreement with them. If your data is held in such a system, please contact the relevant organisation directly.

6. Sharing your personal data

We share personal data only where necessary, with:

  • Service providers who help us run our business — such as website hosting, email, cloud infrastructure and our CRM provider (enquiries submitted through our contact form are stored in Zoho CRM) — who may only use it to provide services to us and must keep it secure;
  • Professional advisers such as auditors and legal advisers, under duties of confidentiality;
  • Authorities where we are required to by law, court order or a lawful request; and
  • a successor business, if FlexiDigit is involved in a merger, acquisition or restructuring, subject to this policy.

7. Third-party services on the Website

To display the Website correctly, we load fonts from Google Fonts, and our Contact page includes an embedded Google Map of our office and a contact form provided by Zoho CRM, which loads a Zoho script to record form usage. When these load, Google and Zoho may receive technical data such as your IP address and may set their own cookies, under Google’s Privacy Policy and Zoho’s Privacy Policy. The Website also links to our fleet management product Hauloop and to LinkedIn profiles; these sites have their own privacy policies.

8. Cookies

The Website does not use advertising or analytics cookies of its own. Third-party services described above may set cookies when they load. You can block or delete cookies through your browser settings; the Website will continue to work, although an embedded map may not display. If we introduce analytics in future, we will update this policy and, where required, ask for your consent.

9. Where your data is stored

Your data is primarily stored and processed in India. Some of our service providers may store or process data outside India. Where this happens, we take steps to ensure your data remains protected, and we comply with any restrictions on cross-border transfers notified by the Government of India under the DPDP Act.

10. How long we keep your data

We keep personal data only for as long as needed for the purposes described in this policy — for example, enquiry records for up to 3 years after our last contact with you, and client records for the period required by our contracts and by accounting and tax law. After that, we securely delete or anonymise it.

11. How we protect your data

We use reasonable security practices and procedures, including encryption in transit, access controls, the principle of least privilege, secure cloud infrastructure and confidentiality obligations for our team. No method of transmission over the internet is completely secure, but we work to protect your data and will notify you and the Data Protection Board of India of any personal data breach as required by law.

12. Your rights

Subject to applicable law, you have the right to:

  • obtain a summary of the personal data we hold about you and how we process it;
  • ask us to correct, complete or update inaccurate or incomplete data;
  • ask us to erase your data where it is no longer needed or you withdraw consent;
  • withdraw your consent at any time;
  • nominate another person to exercise your rights in the event of your death or incapacity; and
  • have your grievances addressed (see section 14).

To exercise any of these rights, email us at contact@flexidigit.com. We may need to verify your identity before acting on your request, and we will respond within the time required by law.

13. Children

The Website and our services are intended for businesses and are not directed at children under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

14. Grievance redressal
